No. Instead, you should assign access privileges to other users under the Settings / Users option, allowing each user to use the application with their own access privileges.
The administrator and the agent of the accommodation establishment can adjust settings so that upon selecting the daily closure users are requested to enter a 4-digit code specific to the accommodation establishment prior to the approval of the daily closure. Entering a code is just an option, and is not mandatory.
Yes, 1 hour. The application may seemingly continue to function afterwards, but using the system without loggin in again could cause problems.
This is a priority-type privilege, which in all cases requires Citizen Portal log-in. The ADMINISTRATOR is the person who registered the accommodation establishment in the NTDSC, by default this person is the authorised representative. This access privilege allows for the execution of all operations in the application as well as the assignment of additional privileges.
The AGENT has identical privileges to the ADMINISTRATOR for the selected accommodation establishment, but can only log in with an email address. An AGENT user can only be created by an ADMINISTRATOR or an AGENT. A DATA PROVIDER user can be created by an ADMINISTRATOR or an AGENT. This role has limited privileges, and can only access the following functions: management of bookings, initiation of daily closure, reports, documents.
You don’t have to download any programme to use the application, simply follow the steps below: 1) register the accommodation establishment in the NTDSC; 2) as part of the registration process you have to specify that you wish to use the VENDÉGEM application for the accommodation establishment (this is subject to joint fulfilment of the criteria concerning accommodation units, capacity and accommodation type); 3) you are required to read and accept the General Terms and Conditions on the NTDSC platform concerning the application; 4) then the Individual Agreement for the use of the application is delivered to the accommodation provider to the email address specified by during registration; 5) the www.info.vendegem.hu website has to be opened on the Internet, where upon first use only the person that has completed the NTDSC registration can log in, using their Citizen Portal identifier. This person will become the ADMINISTRATOR in the application for the given accommodation establishment, and they can assign additional AGENT and DATA CONTROLLER privileges in respect of the accommodation establishment. 6) the use of the application requires an active Internet connection at all times, and cannot be used without Internet (offline).
Certain conditions must be met for setting the reduced mode. You can check these in SETTINGS/SIMPLIFIED OPERATION. The reduced mode can only be used with 3 accommodation units at most. If the 5 rooms are registered in the NTDSC as 5 separate accommodation units, the reduced mode cannot be used.
You cannot suspend, i.e. deactivate an accommodation unit retroactively, only from today (the given calendar day) at the earliest.
You are in reduced mode. You can switch to standard mode in SETTINGS/SIMPLIFIED MODE.
If these individual properties qualify as separate accommodation establishments and you have separate operating permits for them, they must also be registered in the NTDSC as separate accommodation establishments and a separate Property Management System (e.g. VENDÉGEM) must be used for each accommodation establishment. The VENDÉGEM application allows for the administration of multiple accommodation establishments.
Yes. You can use the application to record all administrative operations that until now were performed on paper.
The system performs daily closure by accommodation establishment, and not by accommodation unit. If the other accommodation units are in operation, daily closure must be carried out as usual, and the deactivated accommodation unit will not have any bookings. If all accommodation units are deactivated, you should set temporary opening/closing times in the accommodation data on the NTDSC platform. If the accommodation establishment is temporarily closed, you do not have to report data.
In this case, the individual beds must be treated as separate accommodation units, as invoicing is done per bed.
This can be done for each accommodation unit in SETTINGS/ACCOMMODATION UNITS when the price changes. There is no option for setting predetermined prices which vary from season to season, but you can enter different prices for each booking or even every day, for instance, you may fix lower prices due to discounts.
The application will allow you to register the number of accommodation units and the capacity that you have set in the NTDSC. In this case, you should check the data recorded on the NTDSC platform.
Yes, this is considered a single accommodation unit.
You are free to decide whether you enter the consumption items in the platform in EUR or HUF, which you can edit in SETTINGS/SET CURRENCY, but this must be the same for all bookings. At the same time, guests can pay in any currency they wish.
You have the option to switch to standard mode, and to do this you must uncheck the box next to ACTIVATE REDUCED MODE in SETTINGS/SIMPLIFIED OPERATION.
The rate for guest nights must be set in the application per accommodation unit and not per person. If you are working with a per person rate, you can specify the price manually for each booking.
Following daily closure (whether automatic or manual), it is not possible to modify data retroactively under any circumstances.
Yes, the system performs automatic closure even if there are no guests in the accommodation.
Yes, you can set this in SETTINGS/SIMPLIFIED OPERATION.
In reduced mode the system performs closure automatically. If you are in standard mode, you can activate automatic daily closure in SETTINGS/SIMPLIFIED OPERATION.
The system notifies you of unclosed days via e-mail, and this must be dealt with subsequently, as the property management software must always have up-to-date data.
The reduced mode can only be used by accommodation providers with up to 3 accommodation units. However, you can also set automatic daily closure in standard mode.
You will be notified by e-mail if automatic closure is unsuccessful. You must deal with this as soon as possible so that the application is up-to-date.
Yes, automatic daily closure can also be used when you are open, so long as there are no unfinished tasks (in standard mode). If the system is unable to perform automatic daily closure due to an incomplete task, you will be notified by e-mail.
In this case, the person that is actually responsible for system administration should be added as a new user. You can do this in SETTINGS/USERS.
In this case one accommodation unit must be registered, as this is the basis for invoicing, with the number of places in the two apartments together. These data must correspond to the figures registered in the NTDSC, as well as the figures indicated in the operating permit.
Yes, closure must be made every day, but in this case you should opt for automatic closure in SETTINGS/SIMPLIFIED OPERATION.
Reduced mode can be used if the given conditions are met, and everyone is free to decide which mode they want to use.
Yes, submission of a tourism tax return is obligatory and unconnected with data reporting, but the tourism tax summary in the REPORTS/TOURISM TAX STATEMENT menu may serve as a basis for the tourism tax return.
Closed days cannot be modified later.
When you register in the NTDSC, you need to indicate that you intend to use the VENDÉGEM application. You don’t need to download anything separately. If your accommodation establishment meets the basic criteria (8 rooms with 16 beds at most), then you can log into the system on the www.vendegem.hu site using Citizen Portal.
The accommodation must be managed as it has been registered in the NTDSC. If the apartment is let as a whole, it counts as a single accommodation unit with the capacity of the whole apartment, regardless of the number of rooms.
No, you are not obliged to use the reduced mode, you may also opt for standard mode.
You can set deactivated status in SETTINGS/ACCOMMODATION UNITS by clicking on EDIT next to the individual accommodation units. The deactivated status must be set separately for each accommodation unit.
There is no limit to adding users.
It depends on the terms of your operating permit and what has been registered in the NTDSC. These same settings must be used in the application. You can add the accommodation unit in SETTINGS/ACCOMMODATION UNITS. If you let the four rooms together, you must invoice them as a single booking, and they must be treated as a single accommodation unit. If the rooms can be booked individually and are invoiced separately, they must be registered as four separate accommodation units.
New users can log in with the e-mail address where the invitation was sent, using the password they have set.
It is a unit that serves as a basis for invoicing, a unit that can be booked separately. The number of these accommodation units must be the same as the number registered in the NTDSC.
Accommodation data must be reported from the date of registration in the NTDSC.
Yes, this is correct, the number of accommodation units in the application must be the same as the number registered in the NTDSC.

If you are responsible for full administration of the application, then probably not. For security reasons, however, it may be practical to register a ‘backup agent’.

If you have guests just once a week and there are no other services to be charged until departure, you should set daily closure after they check in. After they check out and before the next guests check in, the application reports the data automatically along with daily closure.
It must be registered as an additional accommodation unit in the category ‘other’. It is important that the number of accommodation units set in the application is the same as that registered in the NTDSC and the operating permit, and that the application may only be used up to a capacity of 16.
All reservation data are available in REPORTS. It is important that you select the CHECKED-OUT status when entering screening criteria.
Yes, the standard mode is available for accommodation establishments with capacity up to 16.
You can choose whether to enter the data in EUR or HUF.
You can add new users to the system in SETTING/USERS. You have to choose what privileges the given person should be assigned: the data provider has limited privileges, while the privileges of the agent are the same as that of the administrator.

RESERVATION MANAGEMENT



You can add new guests to the accommodation unit on any day, so long as it has sufficient capacity. If you are unable to add additional guests, the reason is that the capacity set for the given accommodation unit is lower than the number of guests that would be coming to the unit.
In standard mode, the booking must be registered immediately. In reduced mode, guests can only be registered when they arrive.
Yes, bookings can currently be registered without recording the name of the client making the booking or those of the guests.
This is true if you only enter the client’s data when registering the booking, but if you also complete the guests’ data, it will no longer show 0 persons. This may be done when registering the booking, but guest data must be entered on the day they check in at the latest.
The reason for this is that the booking is merely a forecast, meaning that bookings exceeding 100% capacity may also be made. For actual occupancy, however, the guests only count if they actually come.
The registered accommodation units are shown in Settings/Accommodation Units in a table format. Click on EDIT in the operations column to bring up the accommodation unit edit interface. Here you have the option to save modifications if you click on DEACTIVATION, select the start and end date from the drop-down calendar view, then click on SAVE.
In order to make a booking, the application asks for the data on the client making the booking, as well as the guest(’)s(’) data. The fields marked in red must be filled in in all cases, as these are forwarded and processed in the NTDSC as anonymous statistical data. These kinds of data are not suitable for identifying guests, and as such do not count as personal data. Personal data fields appear as black in the application, and completing these makes administration easier for the accommodation provider. The accommodation provider must inform guests about the processing of such personal data in a Privacy Policy available on-site, and guests must consent to the processing of their personal data.
The ADMINISTRATOR and the AGENT can set a PIN code for closure, whilst the DATA PROVIDER can NEITHER set NOR modify this code. To set the PIN code for closure: enter only numbers, enter 4 digits, enter the same combination again, click on SAVE. If you want to change the code, enter a new 4 digit code, then click on SAVE twice. To delete the code, clear the field and then click on SAVE.
In the CALENDAR view, click on the right button over the booking and select BOOKING DATA to extend the period or modify the departure date.
In the case of guest data, only the fields marked in red are mandatory, as these are forwarded and processed in the NTDSC as anonymous statistical data. These data are not suitable for identifying guests, and as such do not count as personal data. Data in the black fields make administration and guest management easier for the accommodation provider. If these are not completed by the accommodation provider, the anonymous statistical data (red fields) can still be submitted to the NTDSC by the application, and data reporting is thus complete.
A guest must be registered in the system on the first day they are charged for the accommodation, regardless of whether they arrive before or after midnight.
You can change the room prices for each individual booking, even for different days over the reservation period.
You can register a booking in advance in standard mode, but you cannot do this in reduced mode. When entering a new booking, click the PAY DEPOSIT button, and enter the required data. The application displays the amount on the invoice for the room on the day the guest checks in.
In reduced mode, go to GUEST RECORDS and click on CHECK-OUT next to the relevant accommodation unit. In standard mode, right click on the booking to select the BOOKING DATA option, and reset the booking period under ACCOMMODATION UNIT DATA, then click save.
That of the guest’s permanent residence.
After daily closure, you cannot make modifications for a day already closed. Guests that you are unable to check in are not checked in, the system does not regard them as having checked in.
If an advance (green) booking turns pink on the arrival date and the guest has not checked in, then daily closure cannot be made. If the guest does not check in, then the booking stays pink, and the system regards them as not having arrived.
In standard mode, guests must always be checked out when they leave finally, and not just for a day trip. In reduced mode, however, the system automatically checks the guest out on the preset departure date.
If you are unable to close the day, an obligatory piece of data is probably missing. You can enter the data later, and then you can close the given day.
You do not need to upload guest data when registering a booking, you can do this before they check in.
Yes, after the guest checks out, you can modify the price by clicking on BOOKING DATA.
When registering a booking, you can amend the ACCOMMODATION UNIT GROSS PRICE/NIGHT under ACCOMMODATION UNIT DATA.
An accommodation provider must inform guests about the processing of their personal data in a Privacy Policy available on-site, and guests must consent to the processing of their personal data.
An accommodation unit can only be registered in the system once. The application only allows you to specify a price per accommodation unit, so in such cases you should enter the price manually for each booking.
Yes. If they still pay accommodation fees, this must be registered in the system as additional service.
You cannot modify any data after the fact. If you want to enter data later, you should turn off daily closure, but in this case you still need to enter the missing data and check the guests in within 24 hours.
You can download a manual from info.vendegem.hu or evaroadshow.hu, and you can also watch the tutorials. If the accommodation establishment is managed by more than one person, you should assign privileges accordingly.
The deposit may be entered into the system when the booking is registered, it does not matter how much in advance the deposit was paid. On checking in, this amount will appear on the room invoice.
In standard mode, you can enter individual rates for each booking under ACCOMMODATION UNIT GROSS PRICE/NIGHT.
Yes, if you have not checked any guests in, the given days will be closed as vacant.
Yes, the same rules apply to foreign guests as to Hungarians.
Reduced mode does not allow for the registration of deposits.
The application allows the accommodation provider to manage all bookings in one place, so it is worth entering all bookings immediately.
For each booking, guests must be checked in on the day they arrive at the accommodation establishment and checked out when they depart. You cannot complete daily closure without this. Entering guest data does not mean that they checked in.
It is worth entering the data when a booking is made, as even before you started using this online application, you kept records of your bookings somewhere. Guest data need not be entered when you register the booking, just the date. If the booking is cancelled, you can delete it.
Only guests that actually leave the accommodation need to be checked out. If the other guests stay, they don't have to be checked out until they actually leave. All guests must be checked out at some point, however, otherwise the application marks them as uncompleted tasks.
If you charge extra fees for an additional service, you need to add this to the booking as a new invoice item.
Daily closure must be completed every day. To complete the procedure, there cannot be any incomplete check-ins or check-outs in the system, meaning that if you do have such tasks to complete, you must complete them.
Reservation management must follow Hungarian time, as the fees charged per night are also calculated on Hungarian time.
Registered future bookings (i.e. those marked green) can be deleted in the CALENDAR view by right clicking on the booking.
If the guest pays less than the amount specified in the booking, then the amount must be changed. In standard mode, you can do this by right clicking on the booking and then clicking on BOOKING DATA. In reduced mode, in GUEST RECORDS view, you can edit the amount by clicking on DETAILS next to the accommodation unit.
In this case, the departing guest must be checked out. To do this in reduced mode, click on DETAILS in GUEST RECORDS view. In standard mode, right click on the booking in CALENDAR view under BOOKING DATA.
You can decide whether you want to register the booking in advance or not. The calendar view and entering bookings in advance is meant to lighten administrative burdens. Reduced mode only allows for checking in, and not for entering bookings in advance.
Reduced mode does not allow for registering bookings in advance, so you cannot enter deposit payments either.
If you registered the booking in advance, right click on the booking and delete it by selecting DELETE BOOKING.
Reduced mode does not allow you to select a payment method.
If you are using reduced mode, the system closed automatically every day, and forwarded the data to the NTDSC indicating zero guest numbers.
Reduced mode does not allow for checking in later. You do not need to be at the accommodation establishment in order to do your administration. In standard mode, however, you can check guests in later.
Only services for which guests pay additional charges need to be registered in the system.
Only if guests pay additional charges for such services.
It is if guests pay extra for it, but not if breakfast is included in the price of the room.
If these items are included in the room price, they must be showed as one item in the price of the accommodation unit. If they are additional items for guests, they must be registered in the products and services menu. The price of the accommodation unit shown must be the total price that guests pay, and not the net price retained by the service provider with costs and fees deducted.
Yes, in this case the tourism tax must be entered as an additional item.
If guests pay an additional fee for the service, then click on SETTINGS/PRODUCTS AND SERVICES/NEW CONSUMPTION ITEM, then in calendar view right-click on the booking, and use the ‘enter new item’ button to select it from the drop-down menu and add it to the room invoice. If the cleaning fee is included in the room rate, then there is no need to show it separately.
In standard mode, you can register guests for any day that has been not closed yet. After the daily closure is completed, no new data can be registered to that day. There is indeed no such option in reduced mode.
You should ask your accountant about this.
You can do this if you are using manual closure in standard mode. If a guest arrives late at night, you can check them in the day after and then make manual closure. It is important to make manual closure within 24 hours.
If there are no guests in the meantime, once you set automatic daily closure, you have nothing else to do, the system submits closures automatically. The application is also available as a mobile application which can be managed from anywhere at any time. In addition, you can also add users to the system with data provider or agent privileges, who can log in and perform operations in the system on your behalf. Daily data reporting is mandatory in all cases.
Yes, in this case you have to enter HUF 0 as the accommodation fee, but these guests will also have to pay tourism tax. All guests must be registered.
The data for guests on extra beds must be registered in the same way as those for other guests, the system does not distinguish between them. All guests must be registered.
Yes, these are also very important statistical data, and the registration of bookings is crucial for strategic marketing planning.
Yes, you can register them in standard mode, provided that daily closure has not been made for that particular day. If daily closure has been completed, you can no longer register the new guest.
Multiple accommodation units can be added to a single booking, even all of them in the accommodation establishment.

You must first choose the country, and then you can enter a post code corresponding to that country. For Hungary, the application will only allow you to enter actual post codes, comprising four digits.
Registered bookings provide extremely important statistical data, and are absolutely necessary. For a new booking, you need to check the DEPOSIT PAID box under ACCOMMODATION UNIT DATA, where you can specify the deposit paid, and the remaining amount under ROOM INVOICES when the guests check in.
Yes, guest names are not statistical data and as such they are irrelevant in terms of NTDSC data reporting, but they may be important for the accommodation provider.
Yes, the statistical data of all guests must be registered in the application.
In standard mode you can register guest data the following day, but daily closure must be made within 24 hours at the latest.
Bookings for guests that have not checked in can be deleted: calendar-> booking-> right-click-> delete
The fee for use of the establishment during the day must be entered into the system as a service, under the name accommodation. The arrival and departure date will be the same.
The application allows you to set the number of single and double beds. Enter the number of these beds so that they correspond to the actual capacity of the accommodation unit.
Yes, the booking must be registered for a fortnight. Guests must check in on the date they arrive and check out on the date they depart. If there are no other guests, you could set automatic daily closure for the days in between, so the application will report the data itself.
The application only allows for pricing per accommodation unit, but the price may be changed in the booking data at any time up till daily closure.
If they have paid for all the nights, they do not have to check out.

PAYMENT, EUR



When registering a new booking, you must check the DEPOSIT PAID field. If you do this, additional fields will appear on the booking page that must be completed for payment in advance.
You can only switch currencies if there are no future bookings with ACTIVE status for the accommodation establishment. The reason for this is that resetting the currency is done at accommodation establishment level, which the system cannot calculate if there are active bookings in other currencies at the same time.
The system calculates tourism tax in line with operative legislation, but the accommodation fee must be calculated using current exchange rates (typically for the day before).
Yes, as a deposit, otherwise it will not appear under INVOICE ITEMS in INVOICES.
Go to SETTING/SET CURRENCY, provided that there are no bookings registered in the calendar.
If the rates change from night to night you can modify them on a daily basis, following daily closure, by right clicking on the booking and selecting BOOKING DATA.
You can modify booking data on a daily basis, by changing the details in ACCOMMODATION UNIT GROSS PRICE/NIGHT. Bills can be paid under ROOM INVOICES, by clicking on PAYMENT. You can then enter any amount that will be paid with the SZÉP Card, and then do the same for the remaining amount.
When registering the booking, you can enter the deposit by ticking the DEPOSIT PAID box. Please note that the deposit only appears on the invoice on the day when the guest is checked in. You can enter the remaining amount when it is paid, by right clicking the booking under ROOM INVOICES.
Payment in advance is not shown automatically on the room invoice, it will only appear on the day when the guests are checked in. Until then, it can be reviewed under booking data.
After they check in, right click on the booking under ROOM INVOICES. Guests can pay in any way they want and may even pay the full cost of the booking in advance, if you are certain that no new consumption items will be added to the invoice.
The amount transferred in advance must be entered as a deposit when the booking is registered. The remaining amount can be paid when the guests check out.
Within a single accommodation establishment, data can only be registered in the system in one currency. If the two apartments are registered in the NTDSC as a single accommodation site, you can only set a single currency for the two units. If the two apartments are two separate accommodation establishments, with two NTDSC registrations that use separate accommodation management software, then you can set different currencies.
You can only switch currencies if there are no future bookings with ACTIVE status for the accommodation establishment.
The default payment method can be changed when registering the booking, as well as when guests pay the amount due before they check out.
The application registers accommodation fees as statistical data. When registering the booking, you must click on deposit payment, and register as a deposit the full amount that the guest has paid. You must definitely enter the full amount that the guest has paid (and not what you receive from Booking) because you, as the accommodation provider, have a data reporting obligation.

TOURISM TAX



Because this allows you to modify automatically calculated values.
No, because tourism tax is charged automatically by the system. On the other hand, you can enter the tourism tax item as a service, but this is so that incorrect tourism tax items can be corrected.
You must still report data on tourism tax to the National Tourism Data Supply Centre, despite the fact that pursuant to the relevant government decree, those subject to tourism tax are not required to pay the tax, and the entity obliged to collect the tax does not have to collect or pay it. Uncollected tourism tax can serve as a statistical data item that, down the line, can be used by stakeholder organisations and decision-makers for research purposes, to compile professional summaries, status reports or assessments, or for purposes defined by law.
Yes, the accommodation fee must be entered without tourism tax in all cases.
No. The data entered into the application is not the same as those shown in the tourism tax return. For data reporting purposes, the system must have the exact amount of tourism tax registered, as this is an important statistical data item. The amount of tourism tax must not be changed as the government decree has not cancelled the tourism tax amount, it only suspended the collection and the payment of such tax, but not the obligation to submit a tourism tax return.
When adding a new booking, you can select the reason for tourism tax exemption from the drop-down menu under GUEST DATA.
Select SET ACCOMMODATION TOURISM TAX in SETTINGS, then enter HUF 0.
Go to REPORTS/TOURISM TAX STATEMENT. You need to select the period you want to review. You can also download the table, by clicking on EXPORT in the lower left corner of the TOURISM TAX STATEMENT menu: XLS XLSX.
Yes, in this case the tourism tax payable by the late arrival will only be calculated for the number of days that the guest actually pays accommodation fees for.
The amount that is valid for the address of the accommodation establishment.
The application cannot be used to issue invoices; the amount must simply be deducted from the total payable by the guest.
You still have to submit them.

INVOICING



Under ROOM INVOICES the default booking status in SEARCH is ACTIVE, which must be set to VACANT or CHECKED OUT. You can then see the invoices issued to past guests.
No. Though it is important that the accommodation fee need not be registered as a separate service/product, because it is entered when registering the booking and the system charges the accommodation fee automatically.

The application is available for both iOS and Android. Search for: VENDÉGEM.

ACCOMMODATION UNITS



The accommodation units must be registered in the application in the same way as they are specified in the operating permit and as they have been registered in the NTDSC. If you let the two houses separately, but they have the same address, they count as a single accommodation establishment with two accommodation units. If the properties have different addresses, they are two separate accommodation establishments, which must be registered separately in the NTDSC. They must also be managed separately in the application.
